QUALIFICATIONS AND JOB DESCRIPTION

Duties and Responsibilities

  • Handle all incoming and outgoing correspondence.
  • Collect and sort out all daily incoming e-mail, especially in the morning session due to the accumulation of overnight correspondence.
  • File correspondence and documents.
  • Answer telephone calls and handle enquiries professionally.
  • Prepare attendance records.
  • Attend weekly Sales & Marketing meetings and biweekly business development meeting and prepare minutes.
  • Handle expense reports.
  • Arrange appointments for the Area Director of Commercial Strategy (ADOCS).Keep mailing list and trace file up to date.
  • Maintain par stock of office supplies.
  • Maintain hotel collateral supplies.
  • Prepare contracts if requested.
  • Prepare, send and follow up all work orders, purchase requisitions and other relevant forms.
  • Prepare files and documents for periodic meetings chaired or attended by the Area Director of Commercial Strategy (ADOCS).
  • Responsible for and accountable for the departmental operating budget.
  • Keep a record of receipts received from suppliers to verify monthly invoicing.
  • Liaise with outside suppliers, printers etc. regarding regular printing requirements.
  • Handle communication with clients on behalf of sales personnel or in their absence.
  • Assist other sales and marketing staff with administrative work when necessary.
  • Lead secretaries / coordinator in handling the departmental administration.
  • Prepare travel arrangements for sales and marketing personnel.
  • Perform any other reasonable duties as required by the department head.

 

Requirements

  • Degree or Diploma in Hospitality Management.
  • Minimum 2 years working experience in the luxury hotel industry; international experience preferred.
  • Proficient in written and spoken English and Turkish.
  • Excellent presentation and communication skills.
  • Ability to work under pressure.
  • Outgoing and enthusiastic personality.
  • Possess high degree of stamina, agility, and flexibility.

Preferred Candidate

Associate Degree(Graduate), Bachelor’s(Graduate), Master’s(Graduate), Doctorate(Graduate)
English(Reading : Good, Writing : Good, Speaking : Good)
